Club Manager
Employment Status: Part-Time, Hourly
Compensation: $22–$25 per hour, commensurate with experience
Expected Schedule: Approximately 15–25 hours per week, with some seasonal variation. Additional hours may occasionally be needed during season starts, travel planning, or major club events.
Reports To: Director of Rowing
Knowledge of rowing is helpful but not required!
About Lake Oswego Community Rowing
Lake Oswego Community Rowing (LOCR) is a nonprofit 501(c)(3) organization based at the Charlie S. Brown Water Sports Center on the Willamette River. LOCR offers Learn to Row, recreational, and competitive rowing programs for youth and adult athletes.
Our mission is to provide the greater southwest Portland community with accessible opportunities to participate in rowing at recreational and competitive levels.
Position Summary
The Club Manager is responsible for the club’s recurring administrative and business workflows. This position serves as a primary point of contact for members and families and helps ensure that registration, billing, payroll preparation, staffing records, communications, travel arrangements, and other administrative functions are completed accurately and on time.
The Club Manager works closely with the Director of Rowing, who oversees athletic programming, coaching staff, safety, and on-water operations. The role also receives support from the volunteer Executive Director, Treasurer, Board President, and board members responsible for areas such as fundraising, youth programming, and volunteer coordination.
This is a hands-on coordination role for someone who is organized, responsive, comfortable working with multiple stakeholders, and able to keep recurring administrative processes moving.
Primary Responsibilities
Registration and Member Administration
Set up and maintain registration for youth, middle school, masters, Learn to Row, camps, and other club program offerings and events.
Maintain accurate participant rosters, forms, waivers, and program records.
Coordinate financial-aid applications and related documentation in accordance with policies.
Distribute program information, handbooks, schedules, and other materials.
Respond to questions regarding programs, registration, billing, schedules, and club procedures.
Track enrollment, waitlists and provide registration information for program planning.
Staff Coordination and Payroll Preparation
Maintain coaching and intern schedules and communicate assignments established in coordination with the Director of Rowing.
Track staff and intern hours, timesheets, credentials, and required training.
Follow up on missing or incomplete timesheets and documentation.
Prepare payroll information for review and processing.
Track certification deadlines, including SafeSport, CPR/First Aid, and other club requirements.
Support administrative onboarding for coaches, interns, and seasonal staff.
The Director of Rowing retains responsibility for coaching assignments, performance management, athletic staffing decisions, and supervision of the coaching program.
Marketing and Community Outreach
Maintain and distribute information about club programs, registration dates, events, and community opportunities.
Support newsletters, social media, website updates, and LOPR Activity Guide Seasonal Ads.
Respond to inquiries from prospective members and community organizations.
Coordinate administrative communications with schools, parks departments, and community partners under the direction of club leadership.
Support Learn to Row events, open houses, community discovery days, and outreach activities.
Help maintain consistent and professional public-facing communications.
Formal partnerships, contractual commitments, and official organizational positions require approval from the Executive Director, Board, or designated club leadership.
General Club Administration
Maintain organized electronic and physical club records.
Help document and improve repeatable administrative procedures.
Support insurance, incident, injury, and equipment-damage paperwork after the relevant information has been provided by coaching or club leadership.
Assist with meetings, calendars, reports, and special projects.
Identify administrative issues and bring them to the appropriate club leader for resolution.
Perform other reasonable administrative duties consistent with the position.
Qualifications
Experience in office administration, program coordination, customer service, nonprofit operations, recreation, education, athletics, or a related setting.
Strong organizational skills and attention to detail.
Ability to manage recurring deadlines and multiple priorities.
Clear and professional written and verbal communication.
Comfort communicating with parents, athletes, coaches, volunteers, vendors, and community partners.
Experience with registration, scheduling, payroll preparation, bookkeeping, billing, or customer-management systems is preferred.
Proficiency with spreadsheets, email, shared documents, and online administrative platforms.
Ability to handle financial, personnel, and participant information with appropriate confidentiality.
Ability to work independently while recognizing when decisions require approval from club leadership.
Required Certifications
CPR and First Aid certification within the first three months of employment.
SafeSport certification within the first three months of employment.
